SKF Bearings Purchasing Checklist: Pillow Blocks, Linear Guides, and More
When to Use This Checklist
I manage office and operations purchasing for a 250-person industrial equipment company. Part of my job is ordering SKF bearings, linear guide systems, and related transmission parts. I don't have an engineering degree, but I've processed hundreds of orders since I took over in 2020—well, hundreds is an understatement; by now it's probably closer to a thousand. This checklist is for anyone in a similar spot: procurement admins, office managers, or maintenance coordinators who need to order SKF parts without re-inventing the process every time.
In 2024, I consolidated purchasing for three locations. That forced me to standardize how we write part numbers and what we verify before hitting submit. This checklist is partly the result. There are six steps, and they follow a logical sequence: identify, verify, cross-check, then commit.
The 6-Step SKF Bearings Buying Checklist
Step 1: Identify the Full Part Number
Do not write "SKF bearing 6205" on a purchase order. That number describes the basic bearing, but not the seals, shields, cage, clearance, or lubricant. A real SKF part number is more like 6205-2RS1/C3. It tells your supplier exactly what you need and it's the only way to make sure you're comparing apples to apples when you get quotes.
If the old bearing is still installed, read the stamped number. If it's too worn, measure the bore, outer diameter, and width with a caliper. Then use the SKF bearings catalog on skf.com to match the dimensions to a series. Don't trust a photograph or your memory. I've ordered from memory before—it doesn't end well.
Rookie mistake: In my first year, I ordered "standard" bearings for a repair job without verifying the rear seal type. Cost me $600 in redo and expedited shipping. The lesson: "standard" only means something if it's in the part number.
Step 2: Know the Load Direction
Different bearing types handle different loads. Radial loads are perpendicular to the shaft. Axial loads are along the shaft. If someone asks, "what's a thrust bearing?"—the short answer is it's a bearing designed to carry axial load along the shaft. A deep-groove ball bearing handles some combination of both, but when the application is mostly axial, you usually need a thrust bearing or an angular contact bearing.
This is also where I think about specialty items like a ball bearing turbo cartridge. A turbo rotor runs at extreme speeds and sees constant axial thrust from exhaust pressure. A general-purpose bearing won't survive that job. SKF makes specialty ball bearings for those setups, but you have to order the exact design—not a replacement sourced by feel.
How do you tell? Think about the shaft's main force. In a pillow block on a conveyor, the load is mostly radial. In a vertical mixer, the thrust load from the paddles is axial. When in doubt, ask maintenance or send a photo to the distributor. Spending five minutes answering that question is cheaper than buying the wrong bearing.
Step 3: For Mounted Units, Check the Housing
If you need SKF pillow block bearings, the bearing insert is only half the order. You also need the housing type: pillow block, flange, take-up, or two-bolt. Check the center height from the shaft to the base, the bolt-hole spacing, and the bore.
The SKF bearing unit designation usually includes both the insert and housing series, but you should verify the mounting dimensions yourself. In 2023, we got the insert right on a replacement order, but the bolt spacing was 3mm off on the housing. That meant drilling new holes in a frame that was supposed to be plug-and-play. Avoid that.
Step 4: Treat Linear Guide Systems as a Separate Setup
Linear guide systems aren't just "rails plus bearings." They combine a rail, one or more carriages, ball elements, and seals. When ordering, you need the rail length, carriage type, accuracy grade, preload, and lubrication option. SKF linear guide systems use designations that cover each of these choices.
Don't assume a similar-looking rail from another brand is interchangeable. The mounting pitch and rail profile may look identical, but tolerance specs might not match. If you're replacing a carriage after a crash, order the exact same code. If you're designing a new machine, let the linear guide systems catalog drive the selection. It's tempting to "just use the same one," but that's how you end up with a binding carriage at temperature.
Step 5: Cross-Reference the SKF Bearings Catalog

Put another way: don't guess when the tool is free. The catalog and calculator won't tell you every answer, but they give you a defensible baseline.
Step 6: Verify Supplier, Lead Time, and Invoicing
Before you send the PO, get written confirmation of the part number, lead time, and total cost. Also confirm that the supplier can issue a proper invoice. This sounds boring until finance rejects an expense report because the receipt doesn't qualify. Learned that one the hard way.
I want to say our last SKF bearing order had a three-week lead time, but don't quote me on that—it varies wildly by part number and stock. If your line is down, ask about air freight and check whether the cost changes the total. The lowest quoted price isn't always the lowest total cost.
Also trust your gut when something feels off. I once had a quote that was 25% lower than the other two suppliers. The numbers said go. But that vendor didn't answer a simple question about the part number, and my gut said skip. I did. Three weeks later I heard they had stock inconsistencies. I've never fully understood why some distributors are cheaper for the same SKF part number. My best guess is inventory carrying costs. The difference doesn't matter if the delivery fails.
Common Purchase-Order Mistakes to Avoid
Here are the mistakes I see most often—and, honestly, the ones I've made.
- Skipping the cross-check. I knew I should verify the dimensions before ordering, but thought, "what are the odds?" The odds caught up with me when the bearing was 3mm too large. Now I check.
- Relying on verbal agreements. I knew I should get written confirmation on the deadline, but thought, "we've worked together for years." That was the one time the verbal agreement got forgotten. The line sat idle for a week.
- Not updating catalog knowledge. Manufacturers change part numbers and production lines. What was best practice in 2020 may not apply in 2025. The fundamentals haven't changed, but the execution has transformed.
One more note on pricing: quotes change constantly. Treat any online price as a starting point for a written quotation. Genuine SKF bearings have a clear traceability chain, and authorized distribution is the standard channel for warranty support. Prices as of early 2025; verify current rates with your supplier.
That's the whole checklist. It's not glamorous. But if you're the person responsible for keeping machines running, boring and accurate is exactly what you want.
